This Privacy Policy describes how Bitreserve, LLC ("Bitreserve," "we," "us," or "our") collects, uses, shares, and protects information when you use our website (bitreserve.ai), services, and platform (collectively, the "Services"). It should be read together with our Terms of Service. By using our Services, you agree to the practices described in this Privacy Policy.
1. Who We Are
Bitreserve operates a non-custodial platform that provides automated instructions for allocating business cash flows to Bitcoin purchases, executed through integrated third-party partners. We serve operating businesses across a range of industries — with real estate operators and property managers among our initial use cases — and we expand to additional industries and integrations over time. Bitreserve does not hold, manage, or custody your funds or Bitcoin at any time.
2. Information We Collect
2.1 Information You Provide
When you create an account or use our Services, you may provide us with:
- Identity and contact information: name, email address, phone number, and (for business accounts) company name and business address.
- Account credentials: username and password for your Bitreserve account.
- Integration authorizations: API keys, OAuth tokens, and permission grants you authorize for connected systems, including (as applicable) QuickBooks (Intuit), Rent Manager, our payment processing partner, and other partners we support over time.
- Role and permission data: information about the role (administrator, finance, accountant, view-only, partner/beneficiary, etc.) under which you access the Services and the invitations you send or accept.
- Support and correspondence: information you send us when contacting support or otherwise communicating with us.
2.2 Information from Connected Systems
With your authorization, Bitreserve accesses data from systems you connect, which may include:
- From accounting systems (e.g., QuickBooks / Intuit): chart of accounts, transactions, invoices, bills, and related accounting records needed to classify cash flows and record Bitcoin purchases.
- From industry-specific operating systems (e.g., Rent Manager, Propexo): business records relevant to computing cash-flow allocation rules — for example, for real estate customers, property listings, unit and tenant records, rent rolls, and rent payment events.
- From our payment processing partner: transaction records, payout confirmations, and Bitcoin purchase confirmations needed to display your activity.
We access only the scopes you authorize and only for the purposes described in this Policy and our Terms of Service.
2.3 Information We Collect Automatically
When you interact with the Services, we and our hosting and security providers automatically collect:
- Device and connection information: IP address, browser type and version, operating system, device type, and referring URL.
- Usage information: pages viewed, actions taken in the product, timestamps, and error logs.
- Security logs: authentication events, rate-limiting events, and similar signals used to protect your account and our platform.
2.4 Cookies and Similar Technologies
We use a small number of cookies and similar technologies that are strictly necessary to operate the Services (for example, to keep you signed in and to secure your session). We do not currently use advertising, marketing, or third-party analytics cookies or pixels. If we add analytics, advertising, or similar tracking technologies in the future, we will update this Privacy Policy and obtain any consents required by applicable law before doing so.
3. How We Use Information
We use the information described above to:
- Provide, operate, and maintain the Services, including account setup, integration with connected systems, and execution of your cash-flow allocation instructions through third-party partners.
- Authenticate users, prevent fraud, and secure the platform.
- Communicate with you about your account, service changes, and support requests.
- Display dashboards, notifications, and transaction logs.
- Debug, improve, and develop new features of the Services.
- Comply with legal obligations and enforce our Terms of Service.
We do not sell your personal information, and we do not use your personal information for third-party advertising.
4. How We Share Information
We share information only as needed to operate the Services or as required by law:
4.1 Service Providers (Subprocessors)
We share information with trusted service providers who process data on our behalf and under contractual confidentiality and security obligations. These currently include:
- Supabase — authentication and primary application database.
- Vercel — web and application hosting.
- Cloudflare — DNS, CDN, and denial-of-service protection.
- Inngest — background job orchestration.
- Stripe — payment processing (where applicable).
4.2 Connected Systems You Authorize
When you authorize a connection, we exchange data with third-party systems you enable. Current integrations include:
- Intuit / QuickBooks — accounting data synchronization.
- Our licensed Bitcoin and Lightning payment processing partner — Bitcoin purchase and Lightning payment execution.
- Rent Manager — industry-specific operating data synchronization (real estate).
- Propexo — property management data integration middleware (real estate).
Additional integrations may be added over time. Each partner operates under its own terms and privacy policy, which you should review. A current list of named subprocessors and payment processing partners is available on request at contact@bitreserve.ai, subject to any confidentiality obligations with those partners.
4.3 Legal and Protective Disclosures
We may disclose information if we believe in good faith that it is necessary to:
- Comply with applicable law, a valid legal process, or a government request.
- Enforce our Terms of Service or other agreements.
- Detect, prevent, or address fraud, security, or technical issues.
- Protect the rights, property, or safety of Bitreserve, our users, or others.
4.4 Business Transfers
If Bitreserve is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to the protections of this Privacy Policy.
5. Data Retention
We retain personal information for as long as your account is active and for a reasonable period thereafter to comply with legal, tax, accounting, and audit obligations, to resolve disputes, and to enforce our agreements. When information is no longer needed, we delete it or anonymize it.
6. Security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, logging and monitoring, and least-privilege principles for our team and subprocessors. No system is perfectly secure; you are responsible for protecting your account credentials and integration tokens, and you should notify us immediately at contact@bitreserve.ai if you suspect unauthorized access.
7. Your Rights and Choices
Depending on where you live, you may have rights with respect to your personal information, including the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your personal information.
- Request a portable copy of information you provided.
- Object to or restrict certain processing.
- Withdraw consent where processing is based on consent.
To exercise any of these rights, email us at contact@bitreserve.ai. We will verify your identity before acting on the request and may decline requests where required or permitted by law (for example, to retain records needed for tax or audit purposes). You may also disconnect a connected system at any time from within the Services or from the partner's own portal.
8. Children's Privacy
The Services are not directed to children under 18, and we do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, please contact us at contact@bitreserve.ai and we will delete it.
9. International Users
The Services are currently offered in the United States, and our infrastructure and service providers primarily operate in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated Policy on this page and update the "Effective Date" above. For material changes, we will provide additional notice (for example, by email or through the Services) at least 30 days before the change takes effect, where practicable.
